Programme planning, resource mobilization, evaluation, and review activities will be done collaboratively. There will be increased harmonization of UN policies, procedures and tools, possibly leading towards the establishment of a One UN Operations Team; Under the guidance and direct supervision of the Country Director, the Executive Associate ensures effective and efficient functioning of the Strategy and Partnerships team, full confidentiality in all aspects of assignment, maintenance of protocol procedures, management of information flow and follow-up on deadlines and commitments made; The Executive Associate can supervise the secretarial and clerical staff of the office. The Executive Associate works in close collaboration with UNDP staff, UN Agencies and national authorities to ensure efficient flow of information, actions on instructions, agendas.
Duties and Responsibilities Ensures effective and efficient functioning of the Country Director office focusing on achievement of the following results: Maintenance of the supervisor’s calendar, contacts with high-ranking visitors,arrangement of appointments and meetings, acting as an interpreter when required and/or taking minutes; Maintenance of protocol procedures; Preparation of high quality briefing materials for supervisor for appointments, meetings, missions; Preparation of informal translations; Management of Country Director missions and representation schedule; Maintenance of rosters, databases of partners, telephone lists; Preparation of correspondence, directives, comments on behalf of Country Director for his/her signature and making follow-up when required; Use of automated office management systems for effective functioning of the Country Director office; Responsible for the management and preparation of minutes and records of the: - General staff meetings, Programme and Operations (POMM) meetings, project and unit meetings with the Country Director such as DEP, Programme, Operations, LSP, Sub Office etc. Ensures provision of effective communications support to the Strategy and Partnerships Team focusing on achievement of the following results; Maintenance of the filing system ensuring safekeeping of confidential materials. Use of automated filing system; Coordination of the information flow in the team, follow up on circulation files; Facilitation of information sharing between UNCT and the UN Coordination Unit; Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to Country Director; Screening of all incoming calls and correspondence; Presentation of proposals to eliminate communication bottlenecks in the team and streamline office procedures between the supervisor’s office and subordinate division. Under the supervision of the United Nations Medical Director and the overall management of the Resident Representative in the field, the United Nations Dispensary Physician will: Provide satisfactory medical care to UNstaff/Dependants;(consultations/investigations/treatment/vaccine/referral/medical evacuation); Provide satisfactory medical care to UN staff/Dependents; (consultations/investment/vaccine/referral/medical evacuation); Ensure at all times sufficient availability of medical equipment/laboratory reagents essential for diagnosis/computer equipment/furniture/renovation of the Clinic; Conduct Public Health Education Programme and facilitate use of preventive medicine; Take responsibility for operational administration of the dispensary/medical examination/entry/periodic/exit/monitoring of drugs/vaccines/up country monitoring of health facilities and facilitate development and training of dispensary staff.
Duties and Responsibilities
Summary of Key Functions: Attend the United Nations Dispensary on a full-time basis; Undertake day-to-day clinical duties, e.g. walk-in clinic, emergencies, immunizations etc. Advise Administration on medical standards for recruitment, sick leave, medical evacuations as per UN policies and guidelines Manage/Support day-to-day operations. On call during and outside office hours to observe and treat emergencies in the United Nations Dispensary or in their homes; Provide health; Establish good relations with reliable hospitals, private medical facilities and blood banks; Refer staff/dependents to outside specialists as necessary; follow up with outside specialist. Keep constant contact with the United Nations Designated Examining Physicians to Facilitate their availability as and when required; updates on new policies and guidelines. Supervise, distribute work for the nurse(s) and other staff of the United Nations Dispensary; Procure and keep inventory of all vaccines, medicines, supplies and equipment; Maintain emergency medical supplies and equipment to be used in case of emergency situation; Replenish first-aid kits and other essential medical supplies kept in other duty stations within the country; Facilitate medical evacuation authorized by the UN Medical Director, of UN staff and their dependents in consultation with the resident coordinator, for further investigations and major treatment; Responsible for entry and periodic medical examinations for United Nations staff members who choose to use the UN dispensary for their examinations; Maintain medical records of all United Nations personnel and advise health precautionary steps to new staff members; Prepare periodic (quarterly) reports of functions, visits and treatments at the UN Dispensary to the United Nations Medical Service; Advise health precautionary steps to be undertaken at the duty stations; and Undertake field travels to assess local medical facilities in the field duty stations, and advise the Administration accordingly; Perform any other duties as considered necessary by the United Nations Medical Director and/or Resident Representative

Required Skills and Experience
Education: General Medical Practitioner; Degree (Doctorate) in Medicine. Background
Tanzania has held four credible general elections since the reintroduction of multi-party politics in 1992. Citizens and the government are eager to maintain this track record and to further strengthen democratic practice in Tanzania. Looking to the 2015 general election, government has undertaken early and comprehensive preparations for the electoral processes. Since receipt of official requests for UN assistance to the election cycle leading to the 2015 general election from the National Election Commission and Zanzibar Electoral Commission, a UN Needs Assessment Mission recommended the development of a project in support of the national efforts. In addition, in 2014 the United Republic of Tanzania will likely conduct a first national referendum on a new constitution. The national EMBs and other stakeholders in preparing for these critical events have requested the support of UNDP to provide technical support to the preparation and execution of the referendum. To these ends, the Democratic Empowerment Project (DEP) is a four year (2013-2016) UNDP, UN One Fund and other donor-funded project with the overall aim of contributing to Tanzania’s UNDAP’s Outcome 7: i.e. “key institutions of democracy, (i.e. EMBs, etc.) effectively implement their election and political functions”. UN Women and UNESCO are implementing partners in a One UN Country Team context.
Duties and Responsibilities
The ICT Associate will also provide technical support to UNDP and other UN Agencies at UN House. S/he will support the IT network infrastructure at UN House, troubleshoot and resolve problems with ICT hardware (data centre equipment, computers, printers, scanners, VC/TC, phones, modems etc.) and will conduct routine network administrative tasks (i.e. systems checks, network monitoring, data backups and users account management). Reporting to the DEP Operations Manager, the ICT Associate will perform the following duties: Supports implementation of ICT management systems and strategies, focusing on achievement of the following results Compliance with corporate information management and technology standards, guidelines and procedures for the CO and DEP Project technology environment. Ensures effective functioning of the CO hardware and software packages, focusing on the achievement of the following results: Performance of routine technical tasks, including changing of hardware electronic components (disks, memory, network cabling, power supplies, etc.) and routine repairs; Coordination with Logistics and Procurement departments in ascertaining the status of warranty of defective or inoperable equipment and contacting purchase vendors and arranging timely replacement before the warranty period has expired. Support in the installation of commercial and in-house developed software and related upgrades; Provide support to users regarding operations of standard office software; Configure email accounts in MS Outlook and on mobile phones and tablets and setup signature as per standard in use format; Support of Operating System related procedures including clean installs for Windows 7, 8, 8.1 and 10 and repair of corrupted registry and data recovery from failed systems; Exchange HDD from a defective machine to an identical replacement machine and activate widows when applicable; Ascertain if a given laptop or desktop experiencing performance issues could be improved by the increasing of system memory to a sufficient amount; Provide ongoing support to all users regarding anti-virus protection. Ensure each user computer has the corporate supplied anti-virus installed and is licensed and fully functional. Ensure each instance has automatic update of virus definition files enabled; Ensure all equipment without an internal battery or PoE power such as servers and networking equipment is connected to mains power by a UPS of sufficient size to ensure uninterrupted operation when power is switched from mains to generator and vice versa; Routinely test all deployed UPS’ in the organization to ensure batteries hold a charge and can keep the connected equipment up for a reasonable amount of time to effect a proper shutdown in the advent of a power outage. In the case of flat batteries effect replacement or replace complete UPS if battery can not be obtained. Support network administration, focusing on achievement of the following results: Respond to user requirements and questions regarding network access; Provide access and connection to network drives. Maintain master password file to all network systems including servers and external drives. The master password file location is to be known and shared with senior staff in the advent access is required in the ICT Assistant’s absence; Assemble Cat 5 & 6 Ethernet cables, access router control panels and make any needed configuration changes, ability to connect users to network resources such as printers and shared data drives; Data backup from local drives; If non-existent, and with final approval from the direct supervisor, design and implement a networked based, automated background data backup system from all user desktops and laptops to the designated server using commercial software best suitable for task; Verify by weekly checks that all user data backups from all desktops and laptops are current and the system is functioning correctly for all users; Provide ongoing support to users in backing up and restoring their files when applicable; Provide weekly master backup of the designated server to at least 2 external mediums such as external USB HDD and provide for secure off-site storage of these devices. . Provides administrative support, focusing on achievement of the following results: Support maintenance of an up-to-date inventory of software and hardware; Compile and maintain a complete set of manufacturers’ software and operating system disks for all computers with in the organization; Maintenance of the software library in a secure and accessible location. Software must be accessible to Senior staff in the advent access is needed for installations without the ICT Assistant’s presence; Maintenance of a library of ICT related reference materials if applicable; Maintenance of ICT inventory and stock of supplies and spare parts; Provision of ICT support to key events such as the setup of laptop driven projectors and temporary networks; Preparation of routine correspondence, faxes, memoranda and reports in accordance with CO SOP; Extracting, inputting, copying and filing data from various sources; The archiving of data from decommissioned laptops or desktops, the wiping of all data and user profiles from said machine and restoring machine to a state ready for storage or re-use. . Ensures facilitation of knowledge building and knowledge sharing in the CO, focusing on achievement of the following results: Participation and assistance in the organization of training for the CO staff on ICT issues; Contributions to knowledge networks and communities of practice.
